We are looking for a calm and patient Executive Assistant to provide critical support to the Chief Finance Officer on a 12 month fixed term contract.

This is an excellent 1:1 opportunity; you will have daily interaction with internal colleagues and external contacts and you will be a proactive, excellent organiser and communicator with the ability to multi-task and flexibility to work in this dynamic and ever-evolving environment. You will work well under pressure to meet tight deadlines with a positive and can-do attitude.

Your Role:

  • Effective and extensive management of the electronic diary, assessing priority of appointments and reallocation as necessary
  • Act as a strong gate-keeper and first point of call for the CFO
  • Update CFO on key issues when they are out of the office and delegate actions where appropriate
  • Field all approval requests through to CFO with relevant information and prior approvals
  • Extensive interaction with CFO’s direct reports and wider team based in Glasgow
  • Establish strong partnerships with key members of the business to execute on strategic projects driven by the leadership team 
  • Maintain a rhythm of Finance events for the CFO’s direct reports, next level management and entire finance division
  • Compose correspondence for emails and internal communications on behalf of the CFO
  • Draft the COO‘s report for the Executive Committee and Board when required
  • Support in collating and drafting information for presentations and board reports
  • Collate and distribute papers for monthly recurring meetings
  • Provide support for an extensive range of meetings. This will include preparing agendas, pre-meeting briefings and meeting papers, noting action points and follow up. Ensure meeting rooms are prepared in advance where face to face, with appropriate IT requirements and refreshments provided
  • Participate in and lead certain corporate strategy and market research projects that will help define, and drive, the overall strategic direction of the company  
  • Ad-hoc analyses for the broader leadership team including the use of financial, HR, operating and industry data 
  • Compiling data to answer queries raised by regulators
  • Manage expense claims on behalf of the CFO
  • Maintain direct report records such annual leave
  • Organise domestic and international travel including visa applications
  • Assist with general office duties such as answering the phone, opening mail, printing, photocopying, and scanning of documents
  • Set up of video/audio/teleconferencing as required
  • Co-ordinate filing of business documentation held electronically

 

Your Skills, Experience and Qualifications:

  • Experience supporting a C-level executive preferred
  • Educated to A-Level standard or equivalent 
  • Able to manage complex and highly confidential information
  • Able to recognise fraudulent / phishing scams and report immediately
  • Problem-solver
  • Strong secretarial skills, good spelling and grammar
  • Flexibility with the occasional late night / early start if required
  • Comfortable when working to tight deadlines and able to turn work around within a short time span where demands are liable to change at short notice
  • Demonstrate a high degree of personal organisation and self-management
  • Excellent interpersonal and social skills. Able to operate with diplomacy, tact and empathy
  • Excellent MS office proficiency
