The Investment and Fiduciary Consulting practice of Arthur J. Gallagher & Co., (NYSE: “AJG”), Gallagher Fiduciary Advisors, LLC (“Gallagher”) has approximately 40 employees with offices in Washington, DC; Newark, NJ; and Pittsburgh, PA.  Gallagher delivers independent, conflict-free investment advisory and discretionary investment decision-making across whole portfolios, and acting as an independent fiduciary for particular assets to cure ERISA conflicts of interest and prohibited transactions. Clients include ERISA single and multi-employer benefit funds, nonprofit, healthcare, corporate, religious, public pension and other benefit funds, foundations, endowments and union treasury funds. Investment consulting client assets under advisement of approximately $58.0 billion, and Gallagher also acts in an independent fiduciary capacity of approximately $1.9 billion of assets (as of 12/31/18). Position Summary:

Provides administrative and secretarial support to one or more mid-level professionals. Provides a wide variety of administrative and staff support services. May assist in budget preparation and control activities. May assist in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc. Administers programs, projects, and/or processes specific to the operating unit served. May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities and operations. Incumbents typically receive guidance and/or direction from more senior administrative staff.


Additional Considerations:

Provides general office support with a variety of clerical activities and related tasks.  This position includes receptionist duties and will be responsible for answering incoming calls, directing calls to appropriate associates, as well as additional administrative support duties. 

Greets, screens, and directs visitors.

Process invoices, checks and check requests and sending to accounts payable for payment will all required documents to corporate finance. Financial record keeping.

Answers telephones and directs the caller to the appropriate associate. 

Receives, sorts and forwards incoming mail and coordinates the pick-up and delivery of USPS and express mail services (FedEx, UPS, etc.).

Typing, filing, updating spreadsheets, coordinating and scheduling meetings, and working on special projects.

Set up of on-site client meetings, including scheduling of meeting space, catering order, and meeting set up.

Coordination of conference room schedule, in office space and in building’s facilities.

Coordinates equipment maintenance requests with vendors.

Ordering, receiving, stocking and distribution of office and break room supplies.

Kitchen maintenance (dishwasher duties, stocking, cleaning).

Assists with the production of client meeting materials.

Assists with other related clerical duties such as photocopying, faxing, off site/on site filing and collating.

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m.

Able to work overtime with short notice.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands: 

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

  • High school diploma
  • Two or more years experience providing administrative support in a professional environment.   
  • Proficiency in Microsoft Office (Word, Excel, Powerpoint, Outlook) is required.
